Safe Working Conditions

No verbal abuse, harassment, discrimination, or unreasonable demands. If a client crosses the line, we intervene immediately — up to and including terminating the client relationship. Your safety and dignity are non-negotiable.

13th Month Pay

As mandated by Philippine labor law (PD 851), every VA receives 13th month pay — equivalent to one month's basic salary, paid in December. This is a legal requirement and we comply fully.

Fair Work Hours

Maximum 8 hours/day, 40 hours/week. Overtime is voluntary and compensated at 1.25x the standard rate. Mandatory 1-hour break per shift. No client can require you to work beyond your scheduled hours without your consent and proper compensation.

How We Guarantee Your Pay

Our prepaid billing model ensures you never work unpaid hours. Here's how it flows:

Client pays a 1-week advance deposit + first week's hours BEFORE work starts. No payment = no work begins.

Two weeks of your pay is always secured in advance — the deposit + the current week's prepayment. You're always protected.

Top Virtual pays you on schedule — every 15th and 30th. Direct bank transfer. No delays, no excuses.

The Top Virtual Guarantee: Even in the rare event a client payment fails or is disputed, Top Virtual pays the VA from its own reserves. You are NEVER the one who absorbs a client's failure to pay. That's our risk, not yours.

Anti-Abuse & Harassment Policy

Every VA deserves to work with dignity. Here's how we enforce it.

Level 1 — Verbal Warning to Client

Triggers: Consistently rude or dismissive communication, unreasonable last-minute demands, micromanagement beyond normal supervision, repeatedly ignoring agreed working hours.

Action: Top Virtual contacts the client, explains the issue, and requests corrective behavior. VA is informed and supported. Documented in client file.

Level 2 — Formal Warning + VA Reassignment Offered

Triggers: Repeated Level 1 behavior after warning, yelling or aggressive language, discriminatory comments, demanding unpaid overtime, withholding information needed for work.

Action: Formal written warning to client. VA is offered immediate reassignment to a different client at the same rate with no disruption in pay. Client is put on probation — one more incident triggers Level 3.

Level 3 — Client Termination

Triggers: Any form of harassment (sexual, racial, personal), threats, bullying, asking VA to do illegal/unethical tasks, repeated Level 2 behavior, any action that puts the VA's mental or physical health at risk.

Action: Client relationship terminated immediately. No notice period. VA is reassigned to a new client within 5-7 business days with full pay continuity during the transition. Incident documented and reported if legally required.

Our promise: We will ALWAYS choose our VA over a paying client. No amount of revenue is worth compromising the safety and dignity of our team. If a client is abusive, they're gone. Full stop.

Confidential Grievance Process

How to report issues safely and get them resolved quickly.

Report the Issue

Email vaprotection@topvirtualph.com or WhatsApp Jaycel directly. You can also use the anonymous reporting form (link provided during onboarding). Reports are 100% confidential — the client will never know who reported.

We Investigate (24-48 hours)

Your account manager reviews the situation, gathers evidence (chat logs, time tracking data, your account), and assesses the severity level. You are kept informed at every step.

Action Taken (Within 72 hours)

Based on severity: client is warned, VA is offered reassignment, or client is terminated. You are NEVER penalized for reporting. Your pay and placement are protected throughout the process.

Follow-Up (7 days)

We check in with you 7 days after resolution to ensure the issue is truly resolved and you feel safe and supported. If not, we escalate further — all the way to the founder if needed.

Work Hours, Overtime & Rest Policies
